Overview

Job Summary:

Purchasing Agents specialize in finding goods and services for businesses at the best price to ensure the businesses' continued functionality. This can include supplies, inventory, tools, parts and large scale machine and machine equipment purchases. These specialists are counted on to meet budgetary constraints and increase profitability by performing the following:

Responsibilities

Description of Job Duties and Responsibilities:

  • Issues purchase orders based on the requirements from manufacturing, operations or project management divisions within the company
  • Compiles information and records to draw up purchase orders for procurement of materials and services
  • Monitors inventory quantity and items, making new purchases when necessary
  • Receives new supplies, tracks packages and monitors on time delivery, quality, and accuracy
  • Tracks the status of requisitions, contracts, and orders
  • Determines cause of any delays en route
  • Compares prices, specifications, and delivery dates in order to determine the best bid among potential suppliers
  • Compiles records of items purchased or transferred between departments, prices, deliveries, and inventories
  • Compare suppliers' bills with bids and purchase orders in order to verify accuracy
  • Matches purchase orders with shipments
  • Monitor inventory control systems
  • Prepares inventory transfer forms
  • Interacts with the suppliers on a day to day basis
  • Contacts suppliers in order to schedule or expedite deliveries and to resolve shortages, missed or late deliveries, and other problems
  • Responds to customer and supplier inquiries about order status, changes, or cancellations
  • Verifies packages meet all customer specifications and customer is satisfied
  • Performs buying duties when necessary
  • Assists the department in carrying out administrative duties, such as retrieving, transmitting, filing, and organizing documents. Prepares, maintains, and reviews purchasing files, reports and price lists

Qualifications

Minimum Qualifications (Education, Experience in Related Field, Skills, etc.):

  • Requires a high school diploma and 3-5 years of related experience in procurement or purchasing in a manufacturing environment; or equivalent combination of education and experience
  • Requires basic to intermediate level skills in Microsoft Office
  • Basic to intermediate knowledge of sourcing and procurement techniques
  • Must have strong interpersonal skills to communicate with vendors and internal business partners
  • Experience in collecting and analyzing data
  • Must be detailed, organized and capable of managing large volumes of data in minimal time

 

Preferred Qualifications (Certificates, Training, Licenses, and Experience):

  • Experience utilizing SAP or similar ERP System
  • Procurement or Purchasing operations experience in the machine tool industry
  • Lean systems processes (i.e., Six-Sigma) knowledge and experience
